Bubbly Grazey Terms & Conditions

BOOKING & PAYMENT

50% deposit is required to confirm this booking. If a cancellation is made three weeks prior to the event you will be refunded. If a cancellation is made two weeks prior to the event you will lose 50% of the deposit. 1 week prior to your event, final payment and numbers is required. In the event of an emergency, and at our discretion, we may allow you to change your date. If you book within 5 business days of your function, we require 100% of the cost paid immediately on confirmation of your booking. Under no circumstances will Bubbly Grazey proceed with the preparation of a grazing table if payment is not made in accordance with these conditions. To make the deposit please use EFT. Please put your name as the deposit reference.


SET-UP

All grazing tables/ High Cheese are set up at your event and require a minimum of 1 hour preparation time, depending on the weather, location and length of the grazing table. Our Grazing Boards are created at our premises in Palmyra. Additionally, we recommend the food is consumed within 2 to 4 hours of the completion of the food preparation. For High Cheese, food will be plated once guests start to arrive. Generally, just after start time.


PARKING & STAIRS

Suitable parking must be provided for the duration of the grazing table set up. Please advise us immediately if suitable proximity parking is not available. Any parking fees we incur will be added to your cost. If there are stairs to reach your event location we must be notified prior to your event date and time. The picnic must be set up within 50m of a carpark as there is heavy lifting involved for staff. 


SAFTEY & HYGYINE

It is very important that your grazing Table/board is located in a shaded, cool location for the duration of its use. Please ensure the food is not set up in direct sunlight. Indoors with air-conditioning is always preferable, particularly during the warmer months of the year. We recommend the food is consumed within 2-4 hours and if not being consumed immediately use an appropriate food over to minimise bug/ insects and pests.


PRICING

Pricing is always subject to change. Each quote is only applicable to that specific enquiry and valid for 14 days. Bubbly Grazey reserves the right to substitute products and items when products or ingredients are not be available. Every endeavour will be made to ensure any substitutes are of similar quality and value, and where possible locally sourced products are preferred.


ALLERGIES

Bubbly Grazey needs to be aware of any allergies or dietary requirements prior to the booking confirmation. Additional fees may apply for substitute products if necessary. Bubbly Grazey is not responsible for any allergic reactions due to the customer not declaring it on our booking form in writing and do not recommend anyone eating our food with severe allergies. Any changes to dietary requirements or allergies after booking conformation will incur an additional fee and we will need to know at least 72 hours prior to your event. Allergen advise is general only.

While we endeavor to do our best to cater for allergens, we cannot 100% guarantee that allergens are not present. Individuals with severe allergies, we recommend these individuals do not consume our grazing tables/ High Cheese and boards due to the potential of cross contamination.

LOCATION & STORAGE

Bubbly Grazey recommends all grazing tables/ boards to be set up in a location away from direct sunlight and in a well-ventilated space, preferably under air conditioning. This is especially relevant during the warmer seasons due to food safety recommendations and for food preservation. Bubbly Grazey is not to be held responsible for any food spoiled due to weather, as per our terms and conditions.Bubbly Grazey does not recommend keeping or consuming leftover food at the event completion and will not accept any responsibility for the produce condition or deterioration status at the end of the 4 hour period.


EQUIPMENT HIRE & RETURNS

All equipment borrowed from Bubbly Grazey must be returned within 48 hours of the event unless you have paid a setup fee. This includes platter boards, stands, serving utensils, bowls, other crockery and decoration items. A bond is required, with the amount dependent on the grazing table size and equipment required. Please ensure your bond is given to us in cash on the day of your event. Your bond will be returned to you given that our equipment is returned in the same condition as delivered. Any damaged or misplaced equipment will incur a replacement fee.

Damaged items 

In the unlikely event of breakage, paint stains or damage the following charges will apply:

Tablecloths: $15

Runners: $8

Plate, Glassware or Cutlery: $5

Rugs: $20

Pillows: $10

Small Board $50

Medium Board $90

Long Board $150

Vase, candles or Table decorations $10 each

Artificial floral arrangements: $20 each

Picnic Tables $200

Cart – Depends on the damage. Up to $1600

 

CLEAN UP

Please ensure that all food is cleared from our boards prior to pick up for cleaning. Rubbish: The Customer is responsible for disposing of all rubbish during and after the picnic time. If requesting an outside location, please check that there are bins close by, and if not, then plans should be made to bring your own. 


COUNCIL PERMISSIONS & CONSUMPTION OF ALCOHOL 

Rules, regulations and any laws applicable in Western Australia, regarding the use of public venues, spaces and the consumption of alcohol, must be adhered to. Where set up of Equipment or consumption of alcohol requires local Council permission, it is the Customer’s responsibility to seek that permission, or apply for local Council approval. You must obtain and pay the relevant permissions and/or license fees. If Bubbly Grazey is held responsible for the Customer’s failure to obtain relevant permissions or approvals, the Customer agrees that it will reimburse the Company (and indemnifies and holds harmless the Company) for any and all costs, losses, expenses, damages and claims incurred by the Company arising as a result. 

USE OF EQUIPMENT

All Equipment supplied by the Company during the Booking is owned by the Company, however, the Customer and its guests agree to use the Equipment at their sole risk.  The Customer and its guests release, to the full extent permitted by law, the Company and its officers, agents, employees and contractors from all claims of every kind resulting from any accident, damage or injury caused by the use of the Equipment. 

The Customer acknowledges and agrees that it is responsible for the security of the Equipment until it is collected by the Company.  The Equipment must be returned to the Company in the same good working order and condition as when set-up.

The Customer agrees that it will never leave the picnic site or the Equipment unattended during the Booking time.

The Customer acknowledges and agrees that it must pay for any Equipment damage or loss caused during the Booking period. “Damage or loss” includes, but is not limited to:

·        disappearance, loss or theft of any Equipment, including cutlery, glassware and décor items;

·        red wine or other stain-inducing spillages or other stains on any Equipment, furniture or décor item;

·        cigarette burns on any piece of Equipment, furniture or décor items. 

*Note that smoking is not permitted while using the Company’s Equipment.

In the event of theft of any Equipment, the Customer must notify the Company in writing and provide a full statement of the circumstances of the theft and provide a police report number.


RETRIEVAL OF EQUIPMENT 

In the event of abandonment of the Equipment and/or any breach of these Ts & Cs by the Customer, the Customer agrees and authorises Bubbly Grazey to enter any premises or location at which the event is being held to retrieve its Equipment.  The Customer indemnifies and holds Bubbly Grazey harmless from any and all liability, costs, damages, claims, demands and proceedings, howsoever arising, from such retrieval. The Customer agrees to reimburse Bubbly Grazey for any liability, costs, damages, claims, demands and proceedings, howsoever incurred, in exercising this right.

In the event the Customer is more than one person, their liability under these Ts & Cs is joint and several.


UNSUITABLE WEATHER

If the picnic event is to be held outside (especially during the colder months), it is the responsibility of the Customer to organise an alternate plan or location for the event. This change must be made at least 3 hours’ in advance to the commencement of the event. 

 

SOCIAL MEDIA & ADVERTISING

The Customer agrees the Company has the right to take photos at each Booking for its own promotional/ social media purposes.  Where the Customer or guests are involved, the Company’s staff will seek permission in advance to take a photo. If permission is not granted, the photo will not be taken. 


JURISDICTION

These Ts & Cs are governed by the law applicable in Western Australia.  The Customer and the Company irrevocably and unconditionally submit to the exclusive jurisdiction of the courts of Western Australia.
